The Handy‑Dandy Guide to BandBudgie

Introduction πŸ”—

Welcome to BandBudgie! πŸ”—

BandBudgie helps you organise events for your band.

How? By being flocking awesome!

Getting Started πŸ”—

BandBudgie is a little different to social-media platforms in that you must sign in to view any content.

If you don't have an account you can easily create an account by clicking on the sign-up link.

When you submit your registration form you will receive an email with a confirmation link this is so we know it's you who signed up.

Once you have confirmed your account registration you are now able to sign in and experience the joy of easily planned gigs.

Creating an Account πŸ”—

To create an account click the Sign Up link in the main menu. This will take you to the Sign Up form.

All that you need to provide for your account is:

  • An email — We use this to contact you about things (only mission-critical emails. We don't do marketing).
  • A username
  • Your first and last name
  • A password
Username πŸ”—

Your username is the name we use for you throughout the application. We will use it in email correspondence, and in the user interface. Every username is unique throughout all of BandBudgie.

Your username is also the default band nickname for your band membership. However, you are able to change your band nickname when editing your band membership details. You are able to have a different band nickname for each band you are a member of.

Password πŸ”—

When it comes to passwords at BandBudgie, we tend to be sensible — even though our lead coder is a security freak.

We allow you to use any characters — however it must score 4 points on our Password Strength metre (FYI, it's one that Dropbox invented and shared with the world — so it's pretty trustworthy!).

Joining a Band πŸ”—

You can't join a band in BandBudgie without being invited. In fact, you can't even see if a band exists without being already being a member!

This means each band space is totally private — only band members can see gigs, rehearsals, comments, and all other band information.

However this also means you must be invited through BandBudgie by whoever has admin rights to your band.

When you are invited to a band you will receive an email with a link. This link is valid for 48 hours, and then self destructs (safely, with no damage to your email inbox or the email it's sent in).

When you follow this link it will attempt to take you to a web page where you can accept the invite. You will need to be signed in to BandBudgie to reach this page. So if you don't have a BandBudgie account it's probably easier to set one up before clicking the link.

If you do click the link before you have an account — fear not! The link is valid until:

  1. 48 hours pass
  2. You successfully accept the invite

Simply create your account by clicking the Sign In link in the menu. Then, once your account is confirmed, click the link in the email again.

If you lose the email or you wait longer than 48 hours to accept your invite, simply get your band admin to send you a new invite. πŸ™‚

Events πŸ”—

Events are the central concept of BandBudgie. Event is a catch-all term for your rehearsals and gigs — the two event types.

Events Page πŸ”—

The Events Page is where you can see all your events. These appear as Event Cards in date order (oldest β†’ newest).

By default only upcoming events are displayed (that is — any event where the finish time is currently later than the current time). You are able to change the filter to only show past events - or to show both past and current events. In future versions of BandBudgie you will be able to filter by event type (rehearsal or gig).

Event Cards πŸ”—

Each event card will always display:

  1. A title for the event
  2. The Event Type
  3. The Event Status
  4. Who created the event
  5. The band the event is for
  6. Start and End times (and dates)
  7. A snippet of the details
  8. Event location

It may also include a calltime — though this is only mandatory for Gigs.

You will also see who created the event, the event status and if you've RSVP'd your attendance.

Attendance πŸ”—

Each current member of a band will be invited to a new event. This allows each band member to RSVP their response by selecting Accept or Decline — avoiding messy group chats and fragmented discussions of who is available for which date.

Event Types πŸ”—

Events is a catch-all term for all Event Types. There are two event types:

  1. Rehearsals
  2. Gigs

Future Event Types are planned for BandBudgie — such as Social events and Recording events. Currently, there is nothing stopping you from repurposing the Rehearsal and Gig event types, respectively.

Rehearsals πŸ”—

Rehearsals are used for any practice session, and are colour-coded in blue — as they are a source of knowledge. A rehearsal must have a title, start time, and end time.

Rehearsals may have an optional Calltime attached.

Gigs πŸ”—

Gigs are almost identical to rehearsals — except they must have a calltime included when creating the gig. Gigs are colour coded in purple — as they are the royalty of all events.

Event Status πŸ”—

Often there is an opportunity for an event, yet there are questions of

  1. Are enough people available?
  2. Is the festival/gig/house party going ahead?
  3. Has the band's application been accepted?
  4. Can the organisers afford you?

In cases such as these — or a last-minute cancellation — it's possible that everyone is available but the gig or rehearsal is cancelled.

BandBudgie has 3 Event Statuses:

  • Pending
  • Confirmed
  • Cancelled

The event status may be changed at any time by whoever created the event, or a band admin.

Event Statuses are colour coded:

  • Pending — Grey
  • Confirmed — Green
  • Cancelled — Red

If an event is cancelled band members are not able to RSVP their attendance and the event card is turned a dull red.

Create an Event πŸ”—

New Events may be created from the Events Page.

To create an event — navigate to this page and click on the Create Event button in the upper-right corner (or at the top of the page on a mobile device). In the future it will be possible to create an event directly from a band's page.

Anybody in a band may create an event. The idea being that anyone may get a tip-off of a festival, bar, house party looking for an act.

When creating an event there are 3 sections:

  • Top Info

Misc. info that is important to know up front.

    • Title
    • Event Type
    • Event Status
    • Band
  • Details

Info that will appear in the Details section of the Event Card.

    • Description
    • Location
  • Times

What time and date the event is scheduled to be.

    • Calltime
    • Start Time
    • End Time

Edit an Event πŸ”—

An event may be edited at any time by either the user who created the event or a band admin.

Events may be edited from the Events Page or from inside the event itself. This is done by clicking the pencil icon in the top-right corner of the card directly under the Created By text — or by clicking the pencil icon in the top-right corner when inside the Event.
